When Does the Booking Amount Reach the Company's Bank Account?

When the booking amount reaches your company's bank account depends mainly on two things:

  1. Which booking cancellation terms you have set, i.e. whether the client can cancel the booking free of charge up to 7, 21 or 60 days before the event;

  2. How quickly you upload the invoice to the Venueplace platform.

In simple terms:

  1. The booking amount arrives in your company's Stripe (i.e. payment processing platform) account at the latest when the booking's cancellation deadline is reached (figuratively speaking, the money is already "in your hands" at that point and is simply waiting to be paid out).

  2. Then, as the host, you must upload an invoice for the booking to the Venueplace platform. The invoice can also be uploaded after the event has taken place.

  3. After the invoice is uploaded, the booking amount reaches your organization's bank account 7 days later (the one-week waiting period stems from SEPA requirements).

Example:

If the venue has a 21-day cancellation deadline and the event takes place on 30 August:

  • The client makes the booking on 1 July → Immediately pays 10% based on a prepayment notice (this remains with Venueplace as the service fee). The venue confirms the booking.

  • On 6 August (21 days + 3 days before the event), the remaining amount is charged.

  • The host can upload the invoice starting from 9 August.

  • If the host uploads the invoice on, for example, 10 August, the payout is made on 17 August.
