3. Packages (required)

Why are packages important?

In this stage, you create packages that bring together all the previously added elements into one clear offer. Creating packages is required, because packages are the easiest way for clients to book your venue.

Instead of replying to each client individually and putting together a new offer every time, you simplify your sales significantly by setting the content, price, and rules once and letting the package do the selling.

For the client, packages make choosing easier, which, according to research, increases clients' willingness to choose your place for hosting their event.

Different packages can be intended for different types of events, but they fall into 5 major categories:

Business (seminars, trainings, conferences, product launches)

Party (birthdays, bachelorette parties, afterparties, etc.)

Wellness (retreats, summer days)

Culture (cultural events, concerts)

Life events (weddings, funerals)

1. Set the event type

Marking the event type is a very important and required step, because it helps the package (and also your venue) stand out better in search.

Select only the event types that apply to this specific package:

  • E.g. for a "Seminar package", add training, corporate event, seminar, product launch

  • E.g. for a "Party package", add wedding, birthday, bachelorette party, bachelor party, afterparty, get-together with friends

2. Add a name, description, and photos to the package

Add a name for the package (e.g. Conference package, Party package, Kids' birthday package, etc.) and then a description that explains:

  • Who the package is suitable for

  • What it includes

  • How it differs from other packages

It's also good to add photos to the package that characterize this specific complete solution. For example, if the Conference package includes specific halls and catering, add photos of those specific halls and catering options.

3. Activate the package components

Next, you can activate, one by one, all the spaces (and later also catering, accommodation, entertainment, and additional services, if you have added them) that belong to this package.

PS! The only required element to add to a package is at least one space. The other elements are optional.

  • Spaces – it is required to activate at least one space (if you mark several spaces, you can also set whether a particular space is required – example: the main hall is required for every booking).

  • Accommodation – you can activate it, mark it as required, and also set the minimum number of rooms per night (e.g. at least 3 rooms).

  • Catering – you can activate it, mark it as required, and also set the minimum number of servings (e.g. 10 servings).

  • Entertainment – you can activate it and mark it as required.

  • Additional services – you can activate them and mark them as required.

💡 Good to know: a space (or any other element) that is activated for this package is marked in blue (bottom image). Inactive elements are white (top image).

4. Bringing your own food and drinks

Specify:

  • Whether bringing your own catering is allowed

  • Whether bringing your own alcohol is allowed

    • If yes, whether a corkage fee applies and in what amount

For example:

  • Own alcohol is allowed

  • Corkage fee of €4 per bottle

5. Set discounts

If you want to offer clients a discount on a package:

  1. Click "Add discount"

  2. Set the discount value and type (percentage or fixed amount)

  3. Choose the validity period of the discount (date range, times of day, and/or days of the week)

You can turn discounts on and off at any time.

6. Choose a cancellation policy

The cancellation policy is up to you. For example:

  • Flexible – the client can cancel free of charge up to 7 days before the event

  • Strict – the client can cancel free of charge up to 21 days before the event

  • Extended – the client can cancel free of charge up to 60 days before the event. Suitable for large events that require a long preparation time.

Choose the policy according to the nature and risk level of the event.

7. Save the package and create new ones if needed

Once everything has been reviewed, save the package. After that, you can also add accommodation, catering, entertainment, and additional service options to your profile and add them to the package later.

If your venue offers different solutions, you can create multiple packages, for example:

  • Birthday package

  • Kids' birthday package

  • Conference with accommodation

  • Conference without accommodation

  • etc.

You can create more packages from the left-hand menu of the dashboard: "Packages" -> "Add package". Each package can have different conditions and content.
